The Toole County Clerk & Recorder’s Office serves as the official guardian of the county’s public records, ensuring their preservation, accuracy, and accessibility for future generations. Established shortly after the county’s founding in 1914, the office has grown from maintaining handwritten ledgers to operating a modern, indexed digital system that safeguards essential legal and historical documents.

The Records Department is responsible for recording and indexing deeds, mortgages, surveys, mining work, resolutions, military discharges, and other vital records that document the growth and development of Toole County. In addition, the department files birth and death records, federal tax liens, notices of action, and realty transfer certificates, providing a secure and reliable archive for residents, businesses, and government agencies.

Beyond recordkeeping, the Clerk & Recorder’s Office delivers critical financial support services to county departments and officials. It reviews and processes claims, assists in budget preparation and oversight, and manages payroll, salary, and human resources to ensure employees are paid accurately and in compliance with state and federal regulations. This financial stewardship helps ensure the county’s resources are managed responsibly and efficiently.

The office also oversees elections as the County Elections Department, administering all federal, state, county, city, and special district elections in strict accordance with election law. From voter registration to ballot counting, the Election Administrator plans, organizes, and manages every step of the process, following Montana Secretary of State directives and the United States Election Assistance Commission guidelines to ensure fair, secure, and transparent elections for all residents of Toole County.
